1. Notarial Recordings
Audio/video recordings of RON sessions are retained for the longer of (a) the period required by the notary’s commissioning state (typically 5-10 years) or (b) any longer period agreed with the customer. Default retention is 10 years.
2. Electronic Journals
Notarial journal entries are retained for the period required by the notary’s commissioning state, generally not less than 7 years.
3. Identity Verification Artifacts
Credential images and KBA outcome metadata are retained for the same period as the associated notarial recording.
4. Customer Account Data
Account profile information is retained for the life of the account plus a reasonable archive period for legal, tax, and audit purposes (generally up to 7 years after account closure).
5. Payment Records
Billing and tax records are retained as required by applicable tax law (generally 7 years).
6. Backups
Encrypted backups may persist for a limited window beyond active retention periods and are securely deleted on schedule.
7. Deletion Requests
We will honor deletion requests where doing so does not conflict with legal recordkeeping obligations applicable to notaries and electronic notarization providers. See our Privacy Policy for rights and how to submit a request.
